Booking and scheduling for independent coaches

Make the next session easy to agree.

Design preview · Planned connected Mako Coach workflow. Illustrative records.

A good booking answers the practical questions before your client commits. Mako Coach is being built to bring your services, availability, payment terms and client record together, whether you coach in person, online or across both. Give the next appointment a clear place in the relationship.

Clients log assigned training and reply in Beta Training, included with your coach plan.

01 / Booking & Scheduling

Put the service details before the booking button.

Let clients choose a consultation, private session or scheduled small group with a clear understanding of what they are booking. A strength session, a private Pilates lesson and an online coaching appointment can each have their own duration, location, capacity and price.

The booking page should explain any deposit, remaining balance and payment deadline. Clients review the terms that apply before confirming, so neither person has to reconstruct the agreement from an earlier message.

  • Show the service, duration, location and booking timezone.
  • Explain the full price, eligible credits and amount due now.
  • Make rescheduling and cancellation terms visible before purchase.

02 / Booking & Scheduling

Offer time that fits the way you coach.

Build availability around working hours, time off, session length and the space you need between clients. Keep a consultation from running straight into a coaching session, and leave the right buffer after an appointment instead of treating every empty minute as bookable.

For scheduled groups, clients choose a place in a particular session. For a recurring arrangement, review the actual dates and available paid credits. A membership alone does not promise the same weekly slot. If some dates cannot be booked, the client should review the alternatives before accepting a smaller series.

03 / Booking & Scheduling

Give changes a clear route.

After confirmation, clients receive secure access to the permitted actions for that reservation, including rescheduling, cancellation and receipts. They can act within the booking's agreed terms without needing access to the rest of your client records.

A move needs an available destination. If the new time cannot be confirmed, the original appointment and its reserved credit stay in place. Cancellation follows the policy accepted at booking: an eligible pack credit may return to the balance, while a money refund has its own status. A cancelled appointment can still have a refund pending.

04 / Booking & Scheduling

Keep the appointment in the client story.

See the booking alongside the client's goals, previous conversations and purchased services. Before a session, review what you last agreed. Afterwards, record attendance and the next useful step while the appointment is still in context.

When relevant, connect the appointment to the appropriate planned workout. Keep attendance and training completion distinct: payment does not prove attendance, and a completed workout does not prove someone came to an appointment. Private instructors can use the booking and client relationship tools without assigning workouts or asking clients to use Beta Training.

A coaching example

An illustrative booking with Alex.

Alex opens the coach's booking page, chooses a private strength session and checks the displayed timezone, location and cancellation policy. After verifying access to the existing pack, Alex uses one eligible credit. The confirmed appointment appears on the coach's calendar and Alex's client profile, with that credit reserved.

If Alex later requests a different time, the original booking stays intact until the move succeeds. At the session, the coach records attendance separately from any workout Alex logs. This is an illustrative planned workflow, not a customer story.

Practical questions

A few things to know.

Does a client need Beta Training to book?

No. Guest booking is part of the planned flow and does not require a Beta Training account or workout-sharing consent. A training invitation is a separate choice. Access to an existing pack or sensitive booking details requires appropriate identity verification.

Can I take a deposit instead of the full price?

The planned flow supports a disclosed deposit and remaining balance. Clients see the full service price, what they pay now and when the rest is due. If balance collection fails, the outstanding amount remains visible for follow-up rather than becoming another full-price charge.

Will Mako connect to my calendar or video service?

External calendar and meeting connections are part of the product plan. Specific providers and supported flows will be confirmed through the pilot. The booking page will need to distinguish a held time from a confirmed reservation and show any action still required.

What would I pay to accept a session payment?

Proposed pricing combines the coach software subscription with a 1% Mako fee on eligible captured service principal after discounts. A $100 eligible service payment means $1 to Mako. Provider fees and applicable tax are additional. Review the proposed pricing on this page for the complete fee basis, exclusions and refund terms.
