Payments and renewals for independent coaches
See the payment. Understand the next step.
Design preview · Planned connected Mako Coach workflow. Illustrative records.
A payment question is easier to resolve when you can see the service behind it. Mako Coach is being built to connect session charges, pack purchases, deposits and recurring coaching payments to the client record, with clear distinctions between collected money, outstanding balances and payments that need attention.
Clients log assigned training and reply in Beta Training, included with your coach plan.

The service behind payment
- Service price
- USD 100
- Captured amount
- USD 30
- Outstanding balance
- USD 70
A future charge is distinct from money already collected.
01 / Payments & Renewals
Keep the money tied to the service.
Open a client and review the charges, receipts and refunds associated with their coaching. See which session, pack or paid coaching period each payment covers, with paid, pending, failed and partially refunded amounts kept distinct.
Separate collected payments from future renewals and unresolved tasks. An expected charge is useful context, but it is not collected revenue. Record offline payments with their source identified. Client service payments also remain separate from the software subscription you pay to Mako.

02 / Payments & Renewals
Collect the balance against the original price.
For an illustrative $100 service with a $30 deposit, the record shows $30 collected and $70 due, along with the payment deadline. Collecting the balance settles the remaining $70 against that service.
If balance collection fails, review the outstanding amount and follow up from the client record. The deposit does not disappear, and the full price does not become due a second time. If the session is cancelled, apply the agreed policy to money actually collected. A $100 service price does not mean $100 has already been paid.

- Balance to collect
- USD 70
- Original service price
- USD 100
Collecting the balance settles the remaining amount, not a second full-price charge.
03 / Payments & Renewals
Treat a renewal as a payment outcome.
See an approaching coaching period end or failed payment alongside the client and service. Review the paid period, upcoming bookings and earlier conversation before following up. Write or approve the personal message with that context beside you.
New cycle benefits follow confirmed payment. If a renewal fails, no new credits are granted, while already-paid rights continue under their existing terms. A successful retry confirms the new period. A friendly reply, a checkout visit or a promised payment can inform your next action, but none of them should mark the client as renewed.
The next paid coaching period
- Renewal attempt
- Failed
- New cycle credits
- Not granted
- Existing paid rights
- Kept under agreed terms
A verified successful retry establishes the next paid period.
04 / Payments & Renewals
Understand the proposed 1% Mako fee.
The proposed offer combines a coach software subscription with a 1% Mako platform fee on eligible captured service principal after discounts. Separately recorded tax and tips, offline payments and Mako's own software invoices are excluded. Provider processing fees, any applicable provider account costs and tax are additional.
A $100 eligible captured service payment produces a $1 Mako fee. For a $30 deposit followed by a $70 balance, the fee is $0.30 and then $0.70. A pack purchase incurs the fee once, with no additional Mako fee when credits are redeemed. Failed payments and uncaptured authorizations do not earn that fee.
Under the proposed refund policy, refunding eligible service principal reverses the proportional Mako fee. Restoring a session credit alone does not. Review the proposed pricing on this page for the subscription bands and commercial assumptions.
The selected 1% fee
- Deposit fee
- USD 0.30
- Captured balance fee
- USD 0.70
- Total on USD 100
- USD 1.00
Provider fees and tax are additional. Pack redemption incurs no second Mako fee.
A coaching example
Alex's refund has two amounts to track.
In this illustrative example, Alex pays $100 of eligible service principal. The Mako platform fee is $1, before separate provider fees and tax. The coach later refunds $30 of that service principal under the agreed terms. The proportional Mako fee reversal is $0.30, leaving $0.70 of the original fee.
The customer refund and Mako fee reversal each have their own status. A confirmed refund to Alex does not, by itself, prove the platform fee has been returned. Both need to reconcile against the original payment.

Practical questions
A few things to know.
Is 1% the total cost of accepting payments?
No. The 1% is Mako's proposed platform fee on the eligible service amount. The coach software subscription, payment-provider fees, any applicable provider account costs and tax are separate. Exact costs and payment eligibility need confirming for your setup before paid onboarding.
Can I accept payments in any country or currency?
Supported countries, currencies and payment methods will depend on the selected payment implementation and provider eligibility. These are being confirmed for the pilot. Review what is supported for your business before committing to use Mako for client payments.
Does cancelling a booking automatically finish its refund?
No. Cancellation and financial recovery have separate statuses. A booking can be cancelled while a refund remains pending or needs attention. The applicable policy determines the amount, and only money actually collected can be refunded. Returning a pack credit is a separate action.
What happens when a client payment is still processing?
Keep it visible as processing until its outcome is confirmed or reconciled. A checkout return page alone does not establish success. The planned recovery path for uncertain or failed outcomes keeps the next action tied to the actual payment status.
