What these numbers say
Complete the fields to create a descriptive baseline. This calculator does not judge performance or predict which members will cancel.
The formulas behind the studio retention audit
No proprietary score is hiding in the result. These calculations describe one period of aggregate studio data.
Member retention rate
(start members − starting-cohort cancellations) ÷ start membersNew joins are excluded from the starting cohort.
Member churn rate
starting-cohort cancellations ÷ start membersA member is counted once, even if several events exist.
At-risk member share
currently flagged members ÷ current active membersThe flag comes from your studio's cadence definition.
Cancellation revenue context
cancellations × average monthly membership revenueAssociated recurring revenue, not proven revenue loss.
At-risk revenue context
at-risk members × average monthly membership revenueThis is not a forecast of what the studio will lose.
First-to-second visit conversion
second-visit bookers ÷ eligible first-time visitorsRecent visitors need a full return window before inclusion.
Make the result comparable next month
The biggest retention errors usually come from changing the denominator, cohort window, or what “at risk” means.
Keep the starting cohort fixed
Count only starting members who cancelled. Do not mix new members into the retention denominator.
Let the return window mature
Exclude first-time visitors who have not had enough time to make a second booking.
Use one cadence rule
Use the same overdue definition each month. A flag is a review signal, not a churn prediction.
Questions studio owners ask
How do I calculate monthly membership retention?
Subtract starting members who cancelled from active members at the beginning of the month, then divide by that starting count. Keep new joins out of the denominator.
What is the difference between retention and churn?
For the same cohort and period, retention is the share that did not cancel and churn is the share that did. Together they total 100% under this definition.
What counts as an at-risk fitness studio member?
The studio defines that operationally—for example, members overdue relative to their usual return cadence. This tool does not assign an AI score or claim a flagged member will cancel.
Is the revenue result a forecast of lost revenue?
No. It multiplies member counts by the average monthly membership revenue entered. The result is revenue context, not a forecast, guarantee, or proof of loss.
Does this retention calculator store studio data?
No. The calculation runs in the browser and accepts aggregate counts only. It does not ask for names, emails, uploads, or member-level records.
Can I use numbers from Mindbody or Momence?
Yes. Enter aggregate counts from any booking system. In Mako Pulse, supported Mindbody setup depends on source access, while Momence data is currently analyzed from supported CSV or Excel exports.
